G.E.T. EDUCATIONAL TOURS - GROUP BOOKING CONDITIONS
These Booking Conditions set out the terms on which the school or other group (“School”) contracts with G.E.T. Educational Tours Pty Ltd. “You” and “your” means (as applicable) the School, and all teachers, students and other persons listed on the Passenger List (including anyone who is added or substituted at a later date). “We”, “us” and “our” means G.E.T. Educational Tours Pty Ltd.
By making a booking request, the School is deemed to have agreed and consented to all terms in these Booking Conditions (and in any other documents provided to you by G.E.T. Educational Tours) on its behalf and on behalf of all persons listed on the Passenger List (including anyone who is added or substituted at a later date) (“Travelling Party”).
The School warrants that it has brought these Booking Conditions (and any other documents made available by us containing terms relevant to the tour) to the attention of each person in the Travelling Party (and if the person is less than 18 years of age, then to person’s parent or guardian) prior to the person being added to the Passenger List. The School warrants that it is duly authorised to provide the agreement and consent of each person in the Travelling Party. The School agrees to indemnify G.E.T. Educational Tours for any breach of this warranty.
Except where otherwise stated, these Booking Conditions only apply to travel arrangements which you book with us and which we agree to make, provide or perform (as applicable) as part of our contract with you. All references in these Booking Conditions to “tour”, “holiday”, “booking”, or “arrangements” mean such travel arrangements.
MAKING A BOOKING
A booking is only accepted when we issue a written booking confirmation an invoice and a deposit has been received. It is at this point that a contract between us and you comes into existence. We reserve the right to decline any booking request at our discretion. No employee of G.E.T. Educational Tours other than a director has the authority to vary or omit any of these Booking Conditions or promise any discount or refund.
Flight, rail and ferry reservations cannot be confirmed without passenger names. You must, at the time of booking, advise correct names for all members of the Travelling Party. Name changes after tickets have been issued are not always possible. If a name change is possible, this will result in the issuance of new tickets, which may include a higher fare. We disclaim any liability for any loss or expenses caused by a failure to comply with these requirements, and we accept no responsibility for additional charges or inability to travel due to incorrect names being advised.
All quotes are specified in Australian dollars and are subject to change prior to us accepting your booking request. Prices are based on the quoted itinerary including where applicable, coach transportation, ferry travel, economy class airfares, rail travel and multi-share accommodation. Prices are also subject to change in accordance with the following provisions.
Note: coach, airline, rail and ferry fares are subject to change without notice at any time prior to full payment. All government taxes and charges imposed by suppliers beyond the control of G.E.T. Educational Tours (including ticketing fees and airline fuel surcharges) are payable by you and are subject to change. If there are any increases in such taxes or charges, or if you request any itinerary changes or the number or mix of passengers changes prior to you making payment in full, which increases the price of your booking, we reserve the right to change the price at any time by giving you notice. You must pay the additional charges prior to the date of your departure.
Unless otherwise stated, the cost of travelling to or from departure points, flights, visas, airport taxes, port taxes, city taxes, items of a personal nature, laundry, additional beverages and consumables are not included in the tour price.
Foreign Currency Exchange RATE Guarantee
Once you have paid us the deposit, G.E.T. will lock in the exchange rate which guarantees the foreign currency exchange rate that applies to the land travel arrangements for the destination. We guarantee the currency exchange rate applying to your land travel arrangements will be fixed and the cost of land travel arrangements will not be affected by unpredictable currency exchange rate fluctuations.
The Foreign Currency Exchange Rate Guarantee is not a price guarantee and G.E.T reserves the right to increase the price of your travel arrangements in the manner specified in the ‘Prices’ provision above.
G.E.T. Educational Tours makes every effort to ensure the accuracy of information in our brochures and on our website, but shall not be liable for any damage or loss caused by the change or withdrawal of any price, detail or other item or service.
We reserve the right to cancel any booking for non-payment without notice and without the need to remind you of the payment becoming due.
Australian Domestic tours
A non-refundable deposit is payable within 14 days of issuance of your booking confirmation. The deposit amount is:
- If the itinerary price is between $201 and $500: $50 per student
- If the itinerary price is between $501 and $750 $100 per student
- If the itinerary price is between $751 and $999: $200 per student
- If the itinerary price is over $1000: $250 per student
- Tours to Asia and the South Pacific: $300 per student
- Tours to Indonesia $400 per student
- Tours to Europe & the United States $1,000 per student
Full payment for air, rail and sea sectors is required no less than 65 days prior to departure. To secure some discount airfares immediately, non-refundable payment in full may be required.
The balance of the land component is required no less than 30 days prior to departure. GST will be charged on the full payment.

On certain occasions, there may be additional deposit amounts required and we will advise at time of confirming your booking. Full payment is required a minimum 90 days prior to departure. Airfare only bookings require a non-refundable deposit of $250 per student to Asia and the South Pacific, $400 for Indonesia and $500 to Europe and the United States. To secure some discount airfares immediately, non-refundable payment in full may be required.
AMENDMENTS BY YOU
We will endeavour to accommodate changes and additional requests. You acknowledge that changes and requests may not be possible to fulfil.
If we are able to fulfil any changes or requests, you agree that an amendment fee of $150 per request is payable. You also agree to pay any pre-payable taxes, levies or charges and any additional costs passed on by our suppliers in connection with the change or request.
Requests for an individual to travel outside the group’s designated dates is subject to availability and will incur an additional charge of $150 per person plus any charges that our suppliers may pass on to G.E.T Educational Tours.
CANCELLATIONS BY YOU
All cancellations must be received in writing. Because we incur costs from when we confirm your booking, the following cancellation charges will be payable:
• If cancelled more than 30 days before departure: Loss of deposit + all airfares paid
• If cancelled 30 days or less prior to departure: 100% cancellation fee
• If cancelled more than 90 days before departure: Loss of deposit + all airfares paid.
- If cancelled 90 days or less prior to departure : 100% of land content + all airline cancellation fees
Please note: cancellations received within 30 days (for Domestic Tours) and 90 days (for International Tours) of departure are also subject to additional cancellation fees imposed by airlines, ferry operators, hotels, hostels, homestay accommodation operators, restaurants, transportation companies, rail operators and tour operators. Any cancellation fees imposed by these suppliers will be passed on to you, which you must pay.
Any refunds for cancellation of airfares or rail or ferry fares (where the fare permits cancellation) will only be refunded once we have received the corresponding refund.
Important Note: Should a School cancel a tour after the deposit is paid, the School agrees that it will be liable for any costs or expenses incurred by G.E.T Education Tours resulting from any associated cancellation by G.E.T Education Tours of any forward currency contract entered into to provide the Foreign Currency Exchange Rate Guarantee. The School acknowledges that any costs or expenses incurred by G.E.T Educational Tours in this regard are reasonably foreseeable losses that the School will be liable to pay.
AMENDMENTS BY US
Every effort will be made to adhere to the published touring itinerary. Occasionally, circumstances beyond our control will force changes, amendments or modifications to the itinerary and its inclusions. To the fullest extent permitted by law, G.E.T. Educational Tours will not be responsible for any omissions or modifications to the itinerary or the inclusions made as a consequence of these circumstances. If you are entitled to any compensation at law for any changes or modifications in these circumstances, then you agree that any compensation you are entitled to will be reduced by the value of any alternative services we provide that you accept.
CANCELLATION BY US
If the tour cannot proceed due to flood, earthquake, war or civil strife, acts of terrorism, cyclone, abnormal weather, industrial disturbance, strike, fire, lock out, epidemic, pandemic, failure or delays of scheduled transportation facilities, or other Acts of God, or any law, order, decree, rule or regulation of any government authority, or for any reason whether of a similar or dissimilar nature beyond the control of G.E.T. Educational Tours, this agreement will terminate and there will be no claim for damages by either party against the other. However, we will refund you any payments made by you that we have not expended (or legally committed to expend) minus an administrative fee of 10% person. If we provide you with any alternative services or assistance where a tour is cancelled because of force majeure, then you agree the amount to be refunded to you will be reduced by the value of these services and assistance.
If a tour is cancelled for reasons other than force majeure or any other reason outside of the control of G.E.T. Educational Tours, a full refund of monies paid will be made. If we provide you with any alternative services or assistance where a tour is cancelled, then you agree that the amount to be refunded to you will be reduced by the value of these services and assistance.
This is the full extent of G.E.T. Educational Tours’ liability to you for cancellation in these circumstances. We otherwise disclaim any liability to you for the costs of airfares, visas or any other expenses incurred by you as a result of any tour cancellation.

CHANGE OF ACCOMMODATION
In the unlikely instance of an accommodation change becoming necessary the alternative property will be of a comparable or higher standard and there shall be no refund in this respect.
No refund is given for any partially or wholly unused services/ tour inclusions. No supplier or agent or employee of G.E.T. Educational Tours is authorised to promise a refund other than a Director.
It is a condition of travel that each passenger travelling internationally is adequately covered by comprehensive travel insurance for the duration of your tour with us. Your travel insurance policy must provide adequate cover for participation in all included activities as part of the tour. Please check the details within your product disclosure statement and ensure you are aware of its conditions and omissions.
Travel insurance for domestic travel is not compulsory, but is recommended.
PASSPORTS AND VISAS
It is the responsibility of the passenger to hold a valid passport and arrange all necessary visas, permits and certificates required for your selected tour(s). It is the passenger’s sole responsibility to obtain vaccinations and preventative medicines as may be required for the duration of the tour. Any information provided by us is given in good faith and may not be relied upon as being accurate and does not constitute formal advice. We do not take responsibility if you rely upon this information and fail to obtain your own independent advice.
SPECIAL DIETARY REQUESTS
Special dietary requirements will only be accepted on the G.E.T. Educational Tours Dietary Requirements template or name list, which we will provide at the appropriate time. We may require a medical certificate to support special dietary requirements (excluding religious or vegetarian requirements). Note that some venues and hotels may impose additional charges to comply with dietary requirements. We will pass these additional charges on to you, which you agree to pay.
We rely solely on the medical information on members of the Travelling Party as provided by the School. We reserve the right to exclude any passenger from a tour if we, acting reasonably consider that the passenger requires special assistance for a condition either not previously advised or not fully disclosed.
We will not be liable for any damage, injury, death or loss of any kind arising from your failure to disclose relevant medical information.
In the event of a problem with any aspect of your tour you are obliged to make a G.E.T. Educational Tours representative or a local supplier aware of such problems immediately.
We will only consider claims where we or our suppliers have had the opportunity to put things right at the time, and where the claim has been received by us, in writing, within 30 days from the end of the services provided by us, otherwise you will not be able to make the claim.
We will provide the agreed travel arrangements to you with reasonable skill and care. This means that, subject to these conditions, we will accept responsibility if your contracted travel arrangements are not provided as promised or prove deficient as a result of the failure of ourselves, our employees, agents or suppliers to use reasonable skill and care in making or providing your travel arrangements. We will only be responsible for our employees in the course of their employment, and for our agents and suppliers if they were carrying out the work we had asked them to do.
We will not be responsible if the loss, damage, claim or expense was caused by the acts or omissions of yourself, of any other third party not connected with the provision of your travel arrangements, or due to an event of force majeure. Our liability will also be limited in accordance with and/or in an identical manner to:
- The contractual terms of the companies that provide the travel services that make up your package. These terms are incorporated into this booking; and
- Any relevant international convention, for example the Montreal Convention in respect of travel by air, the Athens Convention in respect of travel by sea, the Berne Convention in respect of travel by rail and the Paris Convention in respect of the provision of accommodation, which limit the amount of and conditions under which compensation can be claimed for death, injury, delay to passengers and loss, damage and delay to luggage. We are to be regarded as having all benefit of any limitation of the extent of or the conditions under which compensation is to be paid under these or any conventions.
You can ask us for copies of the travel service contractual terms, or the international conventions.
Please note that if the services which gave rise to the claim complied with local laws and regulations, the services will be deemed to have been properly performed, even if this would not be considered the case in Australia.
Australian Consumer Law and corresponding legislation in other jurisdictions in certain circumstances imply mandatory conditions and warranties into consumer contracts (“Consumer Warranties”). These conditions do not exclude or limit the application of the Consumer Warranties. Other than the Consumer Warranties, G.E.T. Educational Tours disclaims all warranties.
To the extent permitted by law, the maximum liability of G.E.T. Educational Tours to you under these conditions, in tort (including negligence) or at law is limited to arranging for the travel arrangements to be resupplied or payment of the cost of having the travel arrangements resupplied.
This agreement shall be governed and controlled in accordance with the laws of Victoria, Australia. If any provision of these conditions is found to be unenforceable, then it will be severed from these conditions without affecting the remaining provisions.
